    The Executive Dashboard

    A live operating picture of the practice — revenue, funnel, clinical throughput, and system health — paired with an AI analyst that answers questions in plain English.

    The 60-second tour

    1. 1.Period selector (top-right) — toggle 7 / 30 / 90 days. Every metric, chart, and AI answer recalculates instantly.
    2. 2.Needs Your Attention — the only block you must read. Surfaces stuck intakes, failed payments, revenue at risk, and abnormal no-show rates.
    3. 3.KPI rows — Revenue, Funnel, Clinical. Yellow/red borders mean a threshold was breached. Green is healthy and stays neutral.
    4. 4.Ask Anchor (top-right button) — click for a chat window with quick prompts. It can pull live numbers, compare periods, and explain why something moved.
    5. 5.AI Briefing — generate a daily or weekly written summary with wins, risks, and recommended actions. Stored in history so you can scroll back.

    What every KPI actually means

    Each card on the dashboard maps to a real source of truth in our database — not estimates. Here is how to read them:

    Cash Collected
    Sum of successful Stripe charges in the selected window.
    The truest measure of momentum. Forecast appears in the card header.
    MRR
    Monthly recurring revenue from active memberships.
    Predictable income. Watch the delta vs. prior period.
    Outstanding Invoices
    Open or draft peptide order invoices not yet paid.
    Revenue at risk. Click through to chase collections.
    Failed Payments
    Stripe charges that failed (card decline, insufficient funds, etc.).
    Each one is a churn risk. Resolve within 48h.
    Intakes Started
    New intake sessions opened in the period.
    Top-of-funnel demand signal.
    Intakes Completed
    Sessions submitted with signature and consent.
    Conversion-ready leads. Compare to Started for funnel health.
    Stuck Intakes (>7d)
    In-progress intakes idle for more than seven days.
    Recoverable revenue. Each one needs a personal nudge.
    Consults Booked
    Bookings created in the period (any status).
    Pipeline volume.
    Consults Completed
    Bookings ended with status = completed.
    Clinical capacity actually used.
    No-Show Rate
    No-shows ÷ scheduled consults in the period.
    Above 8% triggers a yellow alert. Above 15% = red.
    SOAP Turnaround
    Median hours from consult end to SOAP note creation.
    Clinical SLA. Target: under 24h.
    Refill Rate (60d)
    % of first-order patients who reorder within 60 days.
    The single best predictor of long-term LTV.
    Consult-to-Enroll
    % of completed consults that become paying members within 14 days.
    Conversion of clinical effort into recurring revenue.

    Ask Anchor — your AI analyst

    Ask Anchor is a chat assistant with read-only access to live business data. It is scoped to the period you have selected on the dashboard, so “What needs my attention now?” means “in the last 30 days” (or whatever window is active).

    What it can do

    • Pull current numbers (revenue, MRR, no-show rate, refill rate, etc.)
    • Compare the current period to the prior one and explain deltas
    • Surface anomalies — sudden drops, spikes, stuck records
    • List specific patients tied to a metric (e.g. “who are the stuck intakes?”)
    • Recommend next actions based on what the data shows

    What it will not do

    • Make clinical recommendations or diagnose anything
    • Modify data — it is strictly read-only
    • Send messages, charge cards, or invoke any external system

    AI Briefings — daily or weekly written summaries

    A briefing is a written executive summary generated by AI from the same live data. Use the Daily / Weekly toggle and click Generate Briefing. Each briefing includes:

    • Headline performance vs. the prior comparable window
    • Top wins worth celebrating
    • Top risks worth addressing this week
    • Recommended actions, ranked

    Every briefing is saved to history. Use the dropdown to scroll back and compare how the practice has trended over time.

    System Health Strip

    The thin bar near the top shows whether the underlying systems are operational: payments, scheduling, messaging, pharmacy integration, and email delivery. Green dots mean go. Anything else is worth a click to investigate.

    A suggested daily / weekly rhythm

    Each morning (2 minutes)

    1. Set period to 7 days
    2. Read “Needs Your Attention”
    3. Glance at System Health
    4. Generate a Daily Briefing if anything looks off

    Each Monday (10 minutes)

    1. Switch to 30 days
    2. Generate a Weekly Briefing
    3. Ask Anchor: “Compare this period to prior”
    4. Decide top 1 action for the week

    Privacy, security, and access

    • The dashboard is gated behind staff/admin authentication. Only authorized users can view it.
    • No PHI is shown unless you click into a specific patient record.
    • Ask Anchor runs queries through a server-side gateway with row-level security enforced — it cannot bypass permissions.
    • All AI interactions are logged for audit.
